CRM · Zoho CRM data quality for AIZoho is endlessly flexible. So is the data in it.

Zoho CRM wins on price and configurability. Custom modules, Blueprints and workflow rules pile up, and each core module carries its own quiet debt. Before Zia or an outside model learns from it, we compare your Zoho exports with finance and support to show what holds.

Starts with a 30-minute call. Commits you to nothing. Then exports only: no login, no connected app, nothing installed.

Illustrative example, not a client.

Source of truth

What Zoho CRM gets right.

Every system is built to be right about something. Knowing what Zoho CRM owns, and what it doesn’t, is where a cross-system check starts, and where the Truth Score™ (a score out of 100 for how far your data can be trusted) begins to take shape.

  • 01

    Inbound leads

Webform and import leads before they are converted.

  • 02

    Accounts and deals

The pipeline, by stage, amount and closing date.

  • 03

    Process state

Where each deal sits in its Blueprint, if Blueprints are used.

What it isn’t the truth for

Booked revenue. Deal amounts in mixed currencies, at rates set when the deal was created, are not what Zoho Books, Xero or your ledger recorded.

Inside the system

Common Zoho CRM data problems for AI.

What goes wrong inside Zoho CRM itself, with the objects and fields where it shows. Each one is checkable from an export.

  1. 01

    Duplicate leads from webforms

Default duplicate checks are narrow, and many teams never set matching rules on email or phone. The same person arrives again with every form.

  2. 02

Validation that was never switched on

Without mandatory fields and validation rules, records save with blanks and malformed values in Contacts and Accounts.

  3. 03

    Blueprint drift

Automation edited over time leaves deals in stages the process no longer has, or skipped transitions that never happened in real life.

  4. 04

    Custom module and field sprawl

Overlapping fields and abandoned modules add noise rather than signal, with meanings nobody wrote down.

  5. 05

    Mixed currencies, stale rates

Amounts in several currencies at rates fixed when the record was made, so values do not compare with each other or with the ledger.

Between systems

Zoho CRM looks clean on its own. The gaps are next door.

The problems that sink AI sit between Zoho CRM and the systems beside it: the same customer, person or transaction recorded differently in each. These are the gaps to test for each pairing.

What to export

What we need from you, in plain English.

An administrator can export each module to CSV from Setup, Data Administration, Export, or from list views. We send the field list first. We need no Zoho seat and add nothing to your organisation.

What to exportFor whoever runs it
Leads, with source and created dateLeads: Record Id, Email, Phone, Company, Lead_Source, Lead_Status, Created_Time
Accounts and contactsAccounts: Record Id, Account_Name, Website, Owner; Contacts: Record Id, Email, Account_Name
Every deal for the last three years, with currencyDeals: Record Id, Deal_Name, Stage, Amount, Currency, Exchange_Rate, Closing_Date, Account_Name, Owner
Users, active and inactiveUsers: id, full_name, email, status
  • Exports only, no access to your systems
  • NDA and data processing agreement first
  • The full list of sub-processors comes with our data processing agreement, before any data moves
  • Raw exports deleted after the engagement; we keep quality metrics, not your records

How a Truth Score Read tests Zoho CRM

From your exports to a signed verdict.

Within 5 working days of complete exports. A fixed fee, agreed before we start, that never moves with the verdict.

  1. 01

Export Zoho CRM, and one system beside it

The Zoho CRM exports listed above, plus at least one neighbour, such as books and accounting. Under NDA, using the field list we send.

  2. 02

    Match across systems

Our engine matches each deal and its related records across the exports by ID, name, email and domain, including the ones spelt differently in each system.

  3. 03

    Check by hand, then score

Every red flag is checked by hand against sample records before sign-off. Then the Truth Score: each pillar shows what was measured and what wasn’t, and pillars with too little signal are marked, never guessed.

  4. 04

    Get the verdict in writing

A signed memo: the red flags between Zoho CRM and the other systems, a Leverability read on the AI you’re considering (which AI ideas you can use now, after fixes, or not at all), a verdict (sign, fix first or walk away) and a short fix list your own team can work from.

What you get back

See what comes back: a real sample memo.

One fictional B2B software company, Example Co: 72,837 records in 7 exports from its CRM, finance and HR systems, run through the same engine and the same checks as a paid Truth Score Read. Each system passes its own checks. Matched across systems, only 13% of deals tie to an invoice.

Real engine output on generated test data, not a client.

Questions

Zoho CRM and AI, answered plainly.

Anything else, ask on the 30-minute call. It commits you to nothing.

Book the call
What do you need from our Zoho CRM?

Module exports to CSV, run by an administrator from the field list we send, under NDA. No seat for us and nothing installed.

We plan to turn on Zia. What should we check first?

Whether leads are deduplicated, whether deal stages still match your Blueprint, and whether deal values agree with your books after currency. Zia learns from what is there.

We use Zoho Books too. Do the two not agree?

Not as closely as the integration suggests. Customers created separately in each app, deals won without an invoice and different currency handling are common gaps; our engine matches them across both exports.

Will you redesign our Blueprints?

No. We never fix what we find. The findings and fix list go to your team or any Zoho partner you choose.
